Dear Mr. A
I am very much grateful for the cleaning services that your company has offered us for the last five years. However, this letter is to confirm that PolicyPlan Insurance Services will not be able to renew this annual cleaning contract with Midwest Sparkleen Company on the expiry of the current contract. This decision was reached after thorough consideration of the reasons stated here-under.
To start with; the cleaning of the offices is always shoddy. In several occasions, spills and other messes have been found in the offices. I had to call your company severally to fix this problem; however, all attempts have been in vain. Another reason is about the toxic cleaning chemicals that your employees usually leave in the public hallway. As you know, this is very dangerous to the health of our customers.
The worst came when your cleaning team failed to lock our lobby doors. Our building was left open all night long. This exposed us to the risk of theft and other associated risks like loss of our customer’s personal information.
I have constantly communicated with you in the past regarding the above complaints but nothing has changed. We have therefore decided that we shall not renew the cleaning contract once the current one expires. Doing business with you was a great pleasure; however, I regret to inform you about our stand.
